Hi,
I just organized a gathering onboard the Noordam and here's how I did it. Call ships services at 1-800-541-1576 and ask to speak to the person who organizes special gatherings for the ship you'll be sailing on. We had a woman who handled such things for the Noordam. You'll most likely be given a name and an e-mail address. E-mail her with your request, number of people expected, the date of the gathering and where you would like to hold it onboard (we chose the Crowe's Nest). If no other group has scheduled a meeting or gathering for the date, place and time you requested you will receive a return e-mail okaying or denying your request by e-mail within a day or two. I heard back the next day. You'll also receive a form to fill out. We were told that the cruise director and the hotel manager would be present at our meeting to answer any questions we might have. What a nice surprise as we didn't request their presence. This is just another example of how HAL goes the extra mile for their passengers (guests). Mary

Im sailing 10/22/06 on the Zaandam....on that thread a person named Joan contacted ships services for a CC party, so has all the info and also the name of the person to contact.
She also arranged for 7 people to sit together at the same table. Spent quite a bit of time doing so. She is very helpful. Rosemary

I just completed organizing our group for Westerdam in October. I emailed and received a response and form to fill out. All is now said and done. They reply within 24 hours which is great. They answered questions and were very helpful.
We will be in the Piano Bar for our gathering. There are going to be around 40, hopefully more.

I just set up the Cruise Critic Get Together for our 10/25 Noordam cruise. You might want to simply email Karla Camp, who is the Oosterdam's Onboard Event Services Coordinator. Her email address is Kcamp@hollandamerica.com (Kcamp@hollandamerica.com). Her phone number is 206-298-3817 X 2841. She will send you the Meeting Space Request document, which you fill out and email back to her (I tried attaching it here, but it is bigger than the file size limit). She talks to the ship, and you get a confirmation of your request with the time and place. Its actually a really simple process, and it sounds like they are getting requests for one of these get togethers for practically every cruise! Enjoy your get together!
Keep Smiling!!!:D

Let me suggest that you bring a copy of the correspondence with you, and re-confirm with the Bar Manager once onboard.
Also, have a list of the CC'ers and their cabin numbers just in case there's a last-minute change in plans.
Better to have it and not need it than the other way around. ;)

I'll certainly agree with RuthC's advice to get a list of your participants in advance. And to check with someone as soon as you get aboard. It was quite simple arranging the party through Ship's Services via email and then faxing them the request form. However, for the 35 day Maasdam cruise, they sent the request to the wrong ship! They were all prepared for us in Alaska while we were in the North Atlantic. I must say that Julian, the Food and Beverage Manager, went out of his way to see that our 2nd gathering was special. Even the Captain attended. So double check your confirmation and get everyone's cabin. And enjoy!

Hi Ruth,
We are off on Thursday and I just need to know whom do I speak to on board the ship to confirm our arrangements for our get together on Tuesday 26th. It has been confirmed by Seattle but I would like to confirm it on board.
Hope you are fit and well. :)
Thanks.

Hi, Jennie. I'm looking forward to your report on what I am sure will be a fabulous trip. Ah, but let's not think about it being over when you haven't even started out!
After you board go to see the Bar Manager to double-check that all the arrangements are in place. That's the man I've always dealt with. If, by some chance, there is someone different overseeing your arrangements the Bar Manager will let you know.
Last I knew his office should be on Lower Promenade, starboard side, off the atrium.
Have a safe trip to Vancouver and a great cruise. :)

Ruth,
Thanks so much for your help. I knew you would know what to do.
I will do a report but probably will not post it until we return home.
