How do transfers to hotels work?

We will be doing our first ship transfer to hotel post-cruise wonder how this works - does the cruiseline have you wait in a certain area or do you just meet when you can get off the ship somewhere?

There will be one or more HAL reps in the baggage claim area. They will take your name and direct you to the transfer transportation.

On two occasions the HAL rep has sought us out in the baggage claim area. On the third occasion we found a table further down toward the exit with two HAL reps manning the table. They will either direct you to a bus or to a prepaid taxi if you are the only arrivals at that particular time. In NYC we were put in a town car for the ride into the city. In Copenhagen we were on a large bus full of others. In Quebec City we were put into a taxi.
