Info for open bar party for roll call!

Our roll call is thinking about having a open bar party (1 or 2 hour depending on cost) on one of the sea days on the cruise in September. I know several of you out there have done this and would like to get information on how to do this, how you collected the money from everyone, cost, etc. All information is highly appreciated!

We've done it on several CC group cruises & paid $11.44 per person for a 1 hour cocktail party. Money had to be paid 30 days in advance so we all mailed checks to group leader or used Paypal.

My experience:

 

The ta sent this email to our group leader:

A one hour cocktail party with dry snacks is approximately $11.44 per person. I will not be able to provide times or dates for a party, as the event planning does not coordinate the time or place until approximately 30-45 days prior to departure, so once you committed to the party, I would have to contact you once they assigned a room and time for it. They contact me regarding this unfortunately not the other way around. I can try to work with the regarding a time that you would prefer but that's the best I can do at this point.

Our group leader collected the money ($11.44 pp) from everyone who wanted to attend the party, then sent the money to the ta to send to Carnival before the ta could make the arrangements with Carnival. We did this about two months before the cruise. We learned when the party would be about five weeks before the cruise. Remember - Carnival chooses the day and time, NOT you! :(

The snacks were the dry snacks like they have in the bars. They come around with a tray of drinks like they do at the Captain's Party and the past guest parties, but just like you can do at those functions, you can ask for other drinks. (For example, we ordered Miami Vice, Pina Colada, and Strawberry Daiquiri.:D ) Hope that helps.

I arranged it for a Conquest Roll Call and had everyone mail me a check. Carnival charged my account for the headcount I gave them. We could order pretty much any drink we wanted. I think the snacks were pretzels or peanuts or something along those lines. We all had a wonderful time. The photographers even showed up and took a group picture.

Thank you for the information. Has any of the groups paid for a 2 hour reception and approximately what was the cost on that?

 

I am going to post the info on our roll call and see what happens. I personally don't have time to deal with collecting the money but would be glad to send mine to another that may be willing to do it.

 

If any of you have done the private party on the Valor, which lounge did they use?

Our party on Freedom was in the Swingtime Jazz Bar, which would correspond to Paris Hot on Valor. I think we had about 50 to participate.

Sorry, I don't know about the two hour party. Don't think I would remember too much if I participated in that.

Thanks for the info. Do you know if they allow for people to add on to the group on board? I am sure we will have more join our roll call after we get our party booked that may want to join too.

 

I know when my BIL got married on the Legend, they did a head count and just charged him for the additional people that came to the party (more decided to cruise after they gave a count for the reception).

You will not be able to add a person once you booked the party-- what I do is pay for a few extra people--- and offer it to newbies joining.

 

I had to pay for our party 6 weeks in advance. We had 35+ people (I paid for the extra 5 people)

 

everyone on the roll call that was interested sent me a check/or money order through the mail 2 months before time- that gave me two weeks to work with the agent on what we wanted. The party is 11.44- I charged 12.00pp which I used any extras towards the tip of the waiters that made sure everyone got their full.

 

I wanted the last sea about 3:00- it is a first come first serve type of deal-

he snacks are dry snacks--think pepperidge farm crackers. I believe that all drinks are available- Top shelf drinks will cost you more.

 

 

Our party was held in the aft lounge (the STAGE) on the Liberty. I have had the coctail party on every cruise we took in the past few weeks.. its been fun.

 

Personally the 2 hours is way too long with the 1 hour being just enough

I was a little worried for her but everyone came and paid except for a few friends of one of our RC members. Luckily she had actually booked for a few under the number so everything worked out fine.

whew== that was a brave trusting soul-- that is something I would NEVER ever do. Our party ws close to $500.00

and in the past get togethers I seen where many people were no shows for meet and greets.

We were on the Valor with mom23guys..........HI Terry! :)

 

We paid $11.44 each for the one-hour open bar party with dry snacks (that includes the 15% service charge). The dry snacks were pretzels, goldfish crackers, snack mix, etc.

 

Our trusting Roll Call member that paid in advance spent all of her time at the party collecting money from everyone......she didn't get much of a chance to enjoy the party. She said she would not do it that way again, but would definitely have everyone send in their money ahead of time.

 

One thing I would do next time is to have a second location picked out to move the party to so. We were NOT ready to leave when our hour was up. Some of us did end up moving to the lounge area next to the casino to continue the party. Try to come up with a second party location to continue the fun (no-host) and announce it to everyone.

Our upcoming cruise most people do not drink so purchasing a party was not worth the money- we instead opted to do a no-host party.

Hi all, I was the "brave one" who put together the party on the Valor. We had over 60 people signed up, I actually booked and paid for fewer, just in case. And, if everyone showed up, they would have billed the extra to our account (so, yes you can add people on at the party). It ended up perfect in the end. But, I do recommend collectling ahead of time, it did take most of my time collecting. But, it was really fun. This was the second one I put together, and really recommend it.

 

Contact the Wedding Deparment, they will fax you the information. You then fax in your request, and they notify you a few weeks before the cruise of your date and time, you pay in full at that time.

 

They were great to work with, the head bar manager met us and asked if we needed anything. I think everyone answered your questions.

For CaolinaMama: how new is that price list that you have? Seems so cheap compared to what I have seen.

Wedding depart wont even talk with me since I am booked using an outside agency- My stuff needed to go through my agent in order to secure the party. (i even get intouch with the onboard group cordinator ahead of time to make sure what we want is what we get)

Hi there...we are getting married and would like to have a party the same day as our wedding. It seems like you are at the mercy of Carnival as to when to schedule it? Also, that price list is current as it is the same one we received 2 days ago! Thanks for your help!

there is a huge price difference with the prices above and the one I was mailed a few months ago. (the one above is almost 3.00pp cheaper)

was the above prices for a group booking?

 

 

 

Yes, you are at the mercy of the cruiselines-- first come first serve. Carnival only allows 3 weddings each week-- so your party will not be able to be held the first day of getting onboard unless you purchase a wedding package.

 

I have requested last sea day about 3pm. for every party we have requested we always go what we asked for

That is the price list they sent me for my Victory cruise for 2009

I booked the group just last month

so it should be an up to date price list

keep in mind they charge 15 % gratuity, on top of those prices

ahhh, when i figured those prices and add 15% i got my prices--lol so it wasnt all that much of a difference any how. Thanks for the update.

 

I also noticed on your list that people are being charged $5.00 pp for a non alcohol party- (WOW) in he past this has been free
